Appointment Attendance Policy
At No 1 Fertility, our commitment to exceptional care, respect, dignity, and compassion is unwavering. We highly value your time and kindly request your cooperation in minimising any possible disruptions to both the clinic and other patients’ care. To ensure the smooth and punctual running of appointments, we have established an “Attendance Policy”, aimed at achieving our shared goal.
At No 1 Fertility, when an appointment is scheduled for you, we reserve a dedicated slot with your fertility specialist, which unfortunately becomes unavailable to other No 1 patients. Once confirmed, you can find your appointment details conveniently located in your No 1 patient portal messages. While we do send reminder SMS messages prior to your appointment, it’s important not to rely solely on these for remembering your upcoming appointment.
As a gesture of consideration towards all other No 1 Fertility patients on our waiting list, we kindly ask that you inform us as soon as you become aware that you won’t be able to attend your appointment.
In the event that you need to reschedule or cancel, we request that you contact us with a minimum of 48 (*working) hours’ notice. Our appointment slots are in high demand, and providing advanced notice will enable another No 1 patient to utilise that appointment time effectively.
How to cancel your appointment
We understand that unforeseen circumstances may arise, necessitating the cancellation of your appointment. In such situations, we kindly ask that you contact us at 03 9132 9600 during our office hours of 8am-5pm from Monday to Friday. If you are unable to reach us directly, please feel free to leave a detailed voicemail message, and we will make it a priority to return your call as soon as possible.
Please note that we kindly ask you NOT to reply to the SMS reminder message for cancelling or rescheduling your appointment. Direct communication through the provided phone number will ensure that we can efficiently assist you with any necessary changes.
Exceptions to the cancellation policy may apply in certain circumstances. For instance, force majeure events such as natural disasters or emergencies might permit cancellations without incurring penalties or necessitate alternative arrangements.
Late Cancellations / reschedules & No Shows
In situations where a cancellation, rescheduling, or no-show occurs with short notice, a fee of 50% of the appointment fee, as discussed during the scheduling of your appointment, will be applicable.
Late cancellations & reschedules
A cancellation or reschedule is considered late when the appointment is cancelled or rescheduled less than 48 (working) hours prior to your appointment time. In this case, we will charge the patient a $100 missed appointment fee.
A no-show is when a patient misses an appointment without cancelling. In this case, we will charge the patient a $100 missed appointment fee.
For new patients’ first appointments, a no show, late cancellation or reschedule will result in a 50% charge of the new patient fee ($150).
Payment of missed appointment fee
To secure your appointment with a No 1 Fertility Specialist, we kindly request that you provide a credit card at the time of scheduling. Please be assured that your credit card details will be handled and stored in full compliance with our credit card and privacy policies. These policies can be found for your reference on the No 1 Fertility website and within your No 1 patient portal under Documents > Consent Forms.
Payment of missed appointment fees
In the event of a missed appointment, any applicable fees will be charged to the credit card you provided during the scheduling process. A receipt for the charged amount will be promptly emailed to the address you have provided.
It’s important to note that Medicare rebates are NOT applicable for missed appointment fees.
While we make every effort to avoid such situations, there may be rare occasions when No 1 Fertility reserves the right to reschedule your appointment due to unforeseen circumstances or other factors beyond our control.
We understand the inconvenience this may cause and will make every effort to accommodate your needs by offering an alternative appointment as soon as possible. We greatly appreciate your understanding and cooperation in these exceptional cases.
